Transparency and security. Below we set out in detail how we handle your data in our digital systems and automated (AI) processes.

In short
We process your data (name, email address, phone number) solely to stay in contact with you and to provide the service you requested.
We do not pass your data to third parties for marketing purposes.
VARCORE uses modern, partly automated digital systems and AI-driven processes to improve the efficiency of client communication and internal workflows.
1. The Data Controller

Under Article 37 GDPR the controller is not required to appoint a Data Protection Officer.
2. Purpose and legal basis of processing
2.1 Contact and requests for proposals
- Data processed: Name, email address, phone number, company name, content of your message.
- Purpose: Identifying you, staying in contact, preparing a professional proposal, and arranging a consultation.
- Legal basis: Your voluntary consent [Article 6(1)(a) GDPR], and steps taken prior to entering into a contract [Article 6(1)(b) GDPR].
- Retention period: Until the proposal expires or consent is withdrawn, and in any case no longer than 2 years from first contact (where no contract is concluded).
2.2 Completing the process assessment
- Data processed: Name, email address, company name, and the answers given during the assessment (company size, field of work, characteristics of the process in question).
- Purpose: Producing and sending the assessment result and detailed analysis to the address provided, and making contact where requested.
- Legal basis: Your voluntary, explicit consent [Article 6(1)(a) GDPR], given via a separate checkbox before the assessment is submitted.
- Retention period: Until consent is withdrawn, and in any case no longer than 2 years from completion.
- Note: The assessment answers concern business processes and contain no special categories of personal data. An email delivery provider is used to send the result (see Data processors).
3. Use of Artificial Intelligence (AI) and automation
VARCORE uses modern technology to improve efficiency. Please note that:
- We may partly use AI-based systems (for example language models) to organize information when processing client data and messages.
- We do not use your personal data for the general training of public AI models.
- Processing takes place in a closed, API-based environment where providers (for example OpenAI, Anthropic) handle the information under strict data protection terms.
- The automation we use does not make autonomous automated decisions that produce legal effects concerning you or similarly significantly affect you.
4. Data processors
We use the following providers as data processors:
- RackForest / Servergarden — hosting and server infrastructure
- Google Ireland Ltd. — email and cloud storage
- OpenAI / Anthropic — AI-based processing and organization of data (where used)
- Resend (email delivery) — sending assessment results and notifications
- Accountancy firm — invoicing and tax compliance (where a contract exists)
5. Data security
The controller takes all reasonable technical and organizational measures to protect your data:
- Secure, encrypted channels (HTTPS/SSL).
- Strict password protection and two-factor authentication (2FA) for system access.
- Restricted access: data is accessible only to the extent strictly necessary to carry out the task.
- Reliable servers located in the European Union or offering an equivalent level of protection.
6. Your rights
You have the following rights in relation to your personal data:
- Right to information: You may request details of how your data is processed.
- Right to rectification: You may request correction of inaccurate data.
- Right to erasure: You may request deletion of your data (where no other legal basis for processing applies).
- Right to data portability: You may request your data in a structured format.
- Right to object: You may object to the processing of your data.
We will respond to your request within 30 days at most.
7. Remedies
